GOLD PLAN

Vendor Coordination for Southwest Florida Vacation Homeowners

Gold Plan clients get managed contractor access — we manage the relationship with licensed local contractors when something needs repair. Quotes, access, completion confirmation, and reporting. No managing repairs from 1,200 miles away.

About This Service

You Don’t Need to Manage Contractors From 1,200 Miles Away

When something needs repair at your Southwest Florida property — an HVAC unit, a plumbing issue, a roof repair after a storm — the standard process is exhausting from a distance. You need to find a licensed contractor, get a quote, coordinate access, confirm the work was completed to standard, and follow up on the invoice. All of this while you’re in Ohio, New York, or Michigan.

Suncoast Home Watch Gold Plan clients get vendor coordination handled for them. When our inspection identifies a repair need, we contact our network of licensed, vetted local contractors — HVAC, plumbing, roofing, pool service, and general maintenance — get a quote, present it to you for approval, coordinate property access, supervise or verify the completed work, and confirm with a written report and photographs.

You make the decisions. We handle everything else.

How the Vendor Coordination Process Works

  1. Issue identified — During a scheduled inspection or storm assessment, we identify a repair or maintenance need and document it with photographs.
  2. Notification — You receive immediate notification with the issue description, photographs, and our assessment of urgency.
  3. Quote obtained — We contact the appropriate licensed contractor from our local network and obtain a quote for the work.
  4. Your approval — We present the quote to you. You approve, decline, or request a second opinion. No work begins without your go-ahead.
  5. Access coordinated — We schedule the contractor and coordinate property access on the day of service.
  6. Work confirmed — We verify the completed work and document the outcome with photographs.
  7. Report delivered — A written completion report is added to your property file.

Why a Local Vetted Network Matters

Finding a licensed, reliable contractor in Southwest Florida as an out-of-state property owner is genuinely difficult. The market is active, the good contractors are busy, and it is easy to end up with whoever is available rather than whoever is qualified. Our contractor network has been built through direct working relationships — we know these tradespeople personally and have worked alongside them. That relationship produces better scheduling priority, more accurate quotes, and a higher standard of completed work than a cold call from an unknown out-of-state homeowner.

How It Works

How Vendor Coordination Works

We handle every step from issue identification through confirmed completion — you approve, we execute.

Issue Identification

  • Repair needs identified during regular home watch inspections
  • Flagged immediately with photographs and written documentation
  • Severity and urgency assessed — emergency vs. routine timelines communicated
  • You are notified before any contractor is contacted

Contractor Sourcing

  • Licensed, vetted local contractors across all trades
  • HVAC, plumbing, roofing, pool service, and general maintenance
  • Quotes obtained from our contractor network
  • All quotes presented for owner approval before work is authorized

Quote Management

Quotes are presented clearly for your approval before any work begins. Nothing is authorized without owner sign-off — you decide what gets done and when.

Access Coordination

We arrange contractor access to the property, confirm scheduling, and verify work is completed to the agreed standard. You don't need to coordinate anything from a distance.

Completion Reporting

Written report with photographs confirming completed work delivered after every contractor visit — a documented record of what was done, when, and by whom.

Common Questions

Frequently Asked Questions

Vendor coordination covers the full contractor management cycle when a repair or maintenance need is identified at your property. We contact our network of licensed, vetted local contractors, obtain a quote for your approval, schedule the work at a time that works for your property calendar, coordinate access on the day of service, supervise or verify the completed work where possible, and confirm completion with a written report and photographs. You make the go/no-go decision on the quote; we handle everything else — including following up on the invoice.
We maintain relationships with licensed, locally vetted contractors across the trade categories most commonly needed in Southwest Florida vacation homes: HVAC, plumbing, roofing, pool service, general maintenance, pest control, and electrical. All contractors in our network are licensed for their trade and have been vetted through direct working relationships — not just online reviews. We do not take referral fees from contractors. Our standard is simple: we only refer people we would send to our own properties.
Yes, always. We present the contractor's quote to you before any work is authorized. You make the decision to approve, decline, or request a second quote. We do not authorize repairs on your behalf without your explicit approval except in genuine emergencies where immediate action is required to prevent serious additional damage — and even in those cases, we attempt to reach you first and document every step taken. Your property, your decision.
Vendor coordination as a managed service is included in the Gold Plan. Silver Plan clients who have an issue identified during an inspection receive the full documentation, photographs, and our local contractor recommendations — but the scheduling, access coordination, and completion confirmation are handled by the client directly. If you are on the Silver Plan and find yourself frequently managing contractor calls from out of state, upgrading to the Gold Plan is worth considering. Call us at +1 716 908 5071 to discuss.
We coordinate repairs across the full range of needs that arise in Southwest Florida vacation homes: HVAC repairs and replacements, plumbing leaks and fixture repairs, roof repairs after storm damage, pool equipment service and repairs, screen enclosure repairs, general carpentry and interior repairs, pest control treatments, and exterior maintenance. For specialty work outside our standard contractor network — such as major structural repairs or custom cabinetry — we can assist in identifying licensed local specialists and coordinating the access and completion confirmation process.
